Getting Started with Payments
- Which Payment Providers Work WhereVendi Today supports several payment processors — Stripe, PayPal, Square, NMI, Authorize.net, Razorpay, Adyen, and Mercado Pago — but not every feature works with every provider. Use this article as a quick reference before you build a checkout flow, and see the individual connection guides for setup steps on each provider.
- Accept Apple Pay and Google PayLet customers check out with Apple Pay or Google Pay instead of typing in a card number. Both options are faster for the customer and process identically to a card payment on your end — same pricing, same reporting.
- Accept Manual/Offline PaymentsNot every sale needs to be paid online at the moment of checkout. The manual payment method lets customers select "pay later" at checkout — for example, cash or check on delivery or pickup — and you record the payment yourself once it's actually received.
- Offer Buy Now, Pay Later (BNPL)Let customers split a purchase into installments through a Buy Now, Pay Later provider — Klarna, Affirm, or Afterpay/Clearpay — instead of paying the full amount upfront. This can help reduce cart abandonment on higher-priced items.
- Choose Which Payment Methods Appear at CheckoutWhen a connected processor like Stripe supports many payment methods — cards, digital wallets, bank debits, buy-now-pay-later — you don't have to show all of them everywhere. You can control which methods appear on invoices, payment links, stores, funnels, forms, and subscriptions.
- Pass Processing Fees to CustomersIf you want to recover card-processing costs instead of absorbing them, you can automatically add a small fee — a processing charge, convenience fee, or similar — to customer payments. The fee shows to the customer as its own line item, so there's no surprise at checkout.
- Manage Saved Cards on FileSave a customer's card so you (or they) don't have to re-enter it for every future charge, invoice, or subscription payment. Vendi Today only stores the last 3–4 digits and the expiration date — the full card number lives with your payment provider, not in Vendi Today directly.
- Manage Team Permissions for PaymentsRather than giving a staff member all-or-nothing access to Payments, you can control exactly which parts of the module each person can view, create, edit, delete, export, or configure.
- Send Purchase ConfirmationsBeyond a basic receipt, you can control exactly what a customer sees and receives right after they buy from you — using either the built-in automatic receipt or a fully custom workflow.
- Manage Sales ReceiptsAutomatically send customers a PDF receipt the moment a payment succeeds — whether it came from an order form, a calendar booking, a subscription charge, or an invoice.
- Issue and Manage RefundsRefund a customer directly from a transaction record — full or partial — without leaving Vendi Today. Refunds work with Stripe, Authorize.net, NMI, and PayPal, and cover both card payments and digital wallet payments.
- Accept In-Person Payments with Tap to PayTurn your phone into a card reader. Tap to Pay lets you collect contactless payments — physical cards, Apple Pay, Google Pay — directly through the mobile app, with no extra hardware required for most transactions.
- Add Direct Checkout Links to Email CampaignsSell directly from an email campaign by embedding a product with its own checkout link, instead of routing readers through a separate landing page.
- Invoices and Payments: Common QuestionsPractical answers to the situations that come up most often once you're actively invoicing and collecting payments day to day.
- View Payments in Contacts and Opportunities on MobileRather than switching over to the Payments section every time you need to bill someone, the mobile app puts a Payments tab right inside each contact and opportunity record — so you can handle billing without losing your place in the conversation or the deal.

Invoices & Estimates
- Create and Send InvoicesInvoices let you bill a customer for products or services and track whether they've been paid, without requiring the customer to check out on a live order form.
- Create and Send EstimatesSend a customer a preliminary price quote they can review and approve before you turn it into a real invoice — useful any time you need sign-off before billing.
- Create and Manage Recurring InvoicesFor ongoing services, subscriptions, or installment-based billing, a recurring invoice automatically generates and sends to the customer on whatever schedule you define — no need to build a fresh invoice every cycle.
- Customize Your Invoice Layout and BrandingMake your invoices look like your business — adjust branding, which fields show, and how columns are labeled, and every invoice you send from then on reflects the change automatically.
- Customize Invoice and Estimate NotificationsControl exactly what customers see in the automatic emails and texts Vendi Today sends around invoices and estimates — matching your own branding rather than using a generic default.
- Customize Estimates with Values, Quantities, and ImagesBeyond the basics, estimates support a few extra ways to make a quote more precise and more visual for the customer reviewing it.
- Add Attachments to Invoices and EstimatesAttach supporting files — specs, terms, reference documents — directly to an invoice, estimate, recurring invoice, or estimate template, so everything the customer needs is in one place.
- Enable Partial Payments on InvoicesLet customers pay less than the full invoice amount in a single transaction, as long as they meet a minimum percentage you set — useful when you want flexibility without building out a full installment schedule.
- Edit Partially Paid InvoicesIf a customer has already paid part of an invoice but the details need to change — a different quantity, an updated price, a revised due date — you can edit it directly rather than voiding and recreating the whole thing.
- Set Up Payment Plans on InvoicesSplit an invoice into a defined set of installments — each with its own due date — instead of asking a customer to pay the full amount at once or leaving the split entirely open-ended.
- Set Up Automated Invoice Payment RemindersStop chasing overdue invoices manually — configure automatic reminders that go out by email or SMS on a schedule you define.
- Accept Bank Transfers (ACH/SEPA) on InvoicesLet customers pay directly from their bank account instead of a card — useful for larger transactions, lower processing fees, or customers in regions where bank transfer is the norm.
- Display Tax IDs on InvoicesAutomatically show your business's tax ID — and each client's individual tax ID — on every invoice you send, without retyping them each time.
- Link Opportunities with Invoices and EstimatesConnect an invoice or estimate directly to a deal in your pipeline, so your sales and billing information live in one place instead of two disconnected records.
- Send Estimates to Multiple RecipientsNot every estimate has just one decision-maker. When a purchase needs sign-off from more than one person — a couple approving a project, or several stakeholders on a business deal — you can add multiple recipients to a single estimate instead of sending separate copies.
- Import Invoices via CSVBring historical invoice records into Vendi Today in bulk — useful if you're migrating from another system or consolidating past billing data.
- Create Estimates from Templates on MobileWhen you're meeting a customer on-site or need to get a quote out fast, you can generate an estimate from a saved template right on your phone — no laptop required.
- Connect QuickBooks for Accounting SyncKeep your books and your CRM in sync automatically by connecting QuickBooks — payments and invoices created in Vendi Today flow into QuickBooks, and QuickBooks contacts and invoices flow back.
- Connect Xero for Accounting SyncSync invoices, contacts, and taxes between Vendi Today and Xero automatically, so you're not manually re-entering the same billing data in two places.
Orders, Subscriptions & Transactions
- Understand the Subscriptions PageThe Subscriptions page is your central place to see every recurring billing relationship you have with customers, regardless of which payment provider processes it.
- Modify Existing SubscriptionsUpdate an active, scheduled, or trialing subscription without canceling and rebuilding it from scratch — add or remove products, change quantities, or adjust the billing dates.
- Pause and Resume SubscriptionsGive customers a way to temporarily stop billing without fully canceling — keeping their account history and preferences intact for whenever they're ready to pick back up.
- Handle Failed Subscription PaymentsWhen a recurring charge fails, Vendi Today doesn't just give up on the payment — it automatically follows up and gives you control over how persistent that follow-up is.
- Automate Workflows with Subscription and Refund TriggersKick off automated workflows the moment something happens on a subscription or a refund, instead of manually checking payment activity and reacting after the fact.
- Set Up Shipping Profiles for Your StoreIf your products have different shipping needs — different weights, sizes, or regional availability — shipping profiles let you set specific rates per product or group of products, instead of a single flat rate for everything.
- Import Transactions and Orders via CSVBring historical payment records into Vendi Today by uploading a CSV — useful when migrating off another platform or consolidating financial history from multiple sources.
- Export Transactions, Orders, and Subscriptions as CSVDownload your payment records as CSV files for reconciliation, bookkeeping, or analysis outside Vendi Today. Transactions, Orders, and Subscriptions each have their own export, but the process works the same way for all three.
Payment Links
- Create and Share Payment LinksA payment link is a standalone checkout page you can share anywhere — text, email, social media, a QR code — that lets someone pay you without needing a website. It's the fastest way to accept a payment for a specific product or service.
- Customize Payment Links with Your Brand ColorsMake every payment link checkout page match your business's look instead of a generic default theme.
- Enable Editable Quantities in Payment LinksBy default, a payment link is set to a fixed quantity — but you can let customers adjust how many units they're buying right on the checkout page, instead of creating separate links for each possible quantity.
- Send Personalized Payment Links to Multiple ContactsSend the same payment link to a batch of contacts at once, with each person's name, email, and phone number automatically pre-filled at checkout — so they don't need to type in their own details.
- Send Text-to-Pay Links via SMSRequest and collect a payment right inside an ongoing text conversation, without asking the customer to leave the thread or visit a separate website.
