Send Estimates to Multiple Recipients

Not every estimate has just one decision-maker. When a purchase needs sign-off from more than one person — a couple approving a project, or several stakeholders on a business deal — you can add multiple recipients to a single estimate instead of sending separate copies.

How it works

When you add more than one recipient to an estimate:

• Each recipient gets their own unique link and only interacts with the fields assigned to them.
• You choose whether each person is a signer (they have a signature field to complete) or a CC recipient (they receive a copy but aren't required to sign).
• The estimate isn't considered fully accepted until every assigned signer has signed. Once everyone completes their part, a final signed document generates automatically, along with a certificate showing each signer's IP address, location, and the date and time they viewed and signed.

Add multiple recipients

1. Open the estimate you're creating or editing.
2. In the recipient section, add each additional person by name and email (or phone, if SMS delivery is enabled).
3. For each recipient, assign a signature field if they need to approve the estimate, or mark them as CC if they just need visibility.
4. Send as usual — each recipient receives their own link.

The primary recipient

The first person you add is treated as the primary recipient. This matters in two ways: any custom fields on the estimate that pull contact information use the primary recipient's details, and once every signer has completed the document, the resulting invoice is created against the primary recipient's record. Add the main decision-maker first if it matters who the invoice lands under.

Why use this instead of separate estimates

Sending one estimate with multiple recipients keeps everyone looking at the same numbers and terms, avoids version drift between copies, and gives you a single audit trail showing exactly who signed and when — rather than juggling several estimates for what's really one deal.
