Schedules: Centralized Availability Management

If you manage availability for the same person across several calendars, Schedules let you define working hours once and reuse them everywhere, instead of updating each calendar individually every time something changes.

What a Schedule is

A Schedule bundles together weekly working hours, date-specific exceptions, and a timezone into one reusable template. Once created, that same Schedule can be applied to multiple calendars at once.

Why this is better than per-calendar setup

Configuring availability on each calendar separately means every schedule change has to be repeated across every calendar that person is on — and it's easy for them to drift out of sync. With Schedules, you update the hours in one place and every calendar using that Schedule updates automatically.

Setting one up

  1. Go to Calendars > Calendar Settings > Availability.
  2. Click Create Schedule and give it a name.
  3. Configure weekly working hours, timezone, and any date-specific overrides.
  4. Use the Active On dropdown to assign the Schedule to the calendars it should apply to.
  5. Save.

Flexibility where you need it

You're not locked into one Schedule per person — a calendar can still use a custom, calendar-specific availability setup instead of a shared Schedule if that particular calendar genuinely needs different hours. Schedules are a convenience for the common case of keeping the same person's hours consistent everywhere, not a hard requirement.

This feature may be rolling out gradually and could be labeled as an early-access or Labs feature in your account settings before becoming fully standard.
