Send Single-Use Booking Links with a Workflow

A one-time booking link is a unique scheduling link that stops working once it has been used. The Generate One Time Booking Link action creates a fresh one for every contact who reaches it.

Set it up

  1. Create a workflow and choose a trigger, such as Form Submitted for a specific form.
  2. Click +, open the Appointments category and choose Generate One Time Booking Link.
  3. Select the calendar the link should book on.
  4. Add a message action below it, such as Send Email or Send SMS.
  5. In the message body, open the custom value picker, select Generate One Time Booking Link and choose One Time Link.
  6. Write the rest of the message, save the action, and publish the workflow.

Result

Each contact receives a link only they can use. After they book, the link expires, so it cannot be forwarded to others or reused.

Good uses

  • Premium consultations where you want to control who books.
  • Follow-ups after qualifying a lead, so only qualified people see your calendar.
  • Re-booking offers after a cancellation.

Tips

  • Keep the generate step before the message step, otherwise the link value will be empty.
  • Add a Wait and an If/Else that checks whether the contact booked, then send a reminder to those who did not.

Good to know: Test the flow with your own contact, then try opening the link a second time to confirm it has expired.
