Cancellation and Reschedule Policy
You can control the window of time during which customers are allowed to cancel or reschedule their own appointment, so you're not left dealing with changes minutes before someone is due to arrive.
What it controls
This setting defines how long the cancellation and reschedule links stay active after an appointment is booked. Once the window closes, the booker can no longer use those links to change the appointment themselves.
Setting it up
- Open Calendar Settings for the calendar you want to configure.
- Find Notifications and Additional Options.
- Turn on Allow Cancellation of Meeting and Allow Rescheduling of Meeting as needed.
- Set a time limit for how close to the appointment these actions can happen. Leave the field blank if you don't want the links to ever expire.
- Save your changes.
How customers use it
Cancellation and reschedule links are automatically included in the appointment's notes and in the calendar invite sent to the customer. If you'd rather control exactly where and how these links appear, you can also insert them manually into workflow messages using the tokens {{appointment.reschedule_link}} and {{appointment.cancellation_link}}.
Why it's useful
Giving customers a self-serve way to reschedule reduces no-shows and back-and-forth messages, while a defined cutoff window protects your schedule from last-minute changes that are hard to fill.
