Set Up a Booking Calendar
Instead of trading emails back and forth to find a meeting time, give people a link where they can see your real availability and book themselves in.
Create the calendar
- Go to Calendar > Calendar Settings and click + New Calendar.
- Choose Personal Booking for a standard one-on-one calendar.
- Give it a name, set yourself as the host, choose your appointment length, and define your working hours.
- Save your settings.
Fine-tune your availability
Calendar settings are broken into a few sections worth reviewing before you share your link:
- Basic details — name, description, and appointment type
- Staff & location — who's hosting and whether it's in person, phone, or video
- Availability — the days and hours you're actually bookable, plus buffer time between meetings
- Booking rules — how far in advance people can book, and how much notice you require
- Advanced settings — anything else specific to how this calendar should behave
Make sure your account has access
Go to Settings > My Staff and confirm you're added as a user — this is what lets the calendar assign appointments to you correctly.
Avoid double-booking
Under the Connections tab in your calendar settings, link your personal Google or iCloud calendar. This way, if you already have something on your calendar elsewhere, that time slot won't show as available to book. You can also connect a video conferencing tool here so meeting links get generated automatically.
Share your booking link
Click Share at the top of your calendar to grab your booking link, generate a one-time-use link for a specific person, or copy an embed code to place the calendar directly on a web page. Use the preview option to see exactly what visitors will see before you send it out.
Set up reminders
Missed appointments waste everyone's time. Build a workflow using the appointment confirmation and reminder recipe so anyone who books gets an automatic confirmation and a reminder as the appointment approaches, complete with any meeting link they'll need.
