Staff Notifications for Bookings
Customer-facing notifications get most of the attention, but your team needs to know what's landing on their calendar too. Vendi Today can notify assigned staff — separately from customers — whenever a booking is made, changed, or cancelled.
Who counts as a staff recipient
Notifications can be routed to the specific team member assigned to the appointment, to a general staff inbox or additional email address you designate, or to both. This matters for businesses where the person taking the booking isn't the person delivering the service — a receptionist books the slot, but the provider still needs their own heads-up.
Setting up staff-facing alerts
In a calendar's Notifications settings, each notification type — booking, reschedule, cancellation, reminder — can be configured with its own recipient list independent of what customers receive. Add the assigned user as a recipient, or list additional emails or phone numbers for people who should always be looped in, like an office manager tracking the day's schedule.
Different message, different audience
Staff notifications don't need to read like the polished, branded message a customer sees. Keep staff-facing templates short and functional — contact name, service booked, and time — so a quick glance tells your team everything they need without wading through customer-facing language.
In-app alerts
Beyond email and SMS, staff can also receive in-app notifications the moment something changes on their calendar, which is useful for team members who are logged into the platform throughout the day and don't need a text for every update.
Good to know: If a staff member keeps missing new bookings, check that their notification channel is actually enabled — it's a common gap when a new team member is added but their contact details haven't been added to the calendar's notification recipients yet.
