Manage the Subscription Lifecycle with the Subscription Trigger

The Subscription trigger starts a workflow when a customer's recurring plan is created or changes state. It helps you onboard, retain and win back subscribers without manual checks.

What fires it

The workflow runs when a new subscription is created, moves from trial to active, or changes status, such as being cancelled or failing to bill.

Filters

  • Global Products: choose which product the subscription belongs to, with operators Is, Is not, Is empty and Is not empty.
  • Status: include or exclude states using Is or Is not.
  • Custom Fields: your own subscription details, such as membership tier or customer segment.

Status meanings

  • Active: live and billing successfully.
  • Canceled: ended by the customer or automatically. For some card processors it is also used when a plan reaches its end.
  • Expired: the term finished without cancellation or failure.
  • Incomplete: the customer began checkout but did not complete it.
  • Incomplete Expired: the very first payment failed and the plan never started.
  • Overdue: a later payment failed while the plan had been active before.
  • Scheduled: a future-dated plan that has not started billing.

Set it up

  1. Open Automation > Workflows and click Add New Trigger.
  2. Choose Subscription from the Payments group.
  3. Name it, such as "Subscription overdue".
  4. Click Add filters, select Status, and pick a state.
  5. Click Save Trigger, add actions, and publish.

Example workflows

  • Active: send a welcome message and grant access tags.
  • Overdue: send a payment update link, then alert your team after a few days.
  • Canceled: ask why they left and offer a pause option.
  • Incomplete: nudge them to finish checkout.

Good to know: Use separate triggers for Overdue and Incomplete Expired, because the reasons and best messages are different.
