Send Documents Automatically from a Workflow
Instead of manually opening and sending a document every time you close a deal, you can have Vendi Today send it automatically based on something that happens in your business — a tag being added, a pipeline stage changing, an appointment being booked, and so on.
Before you start
Build and save the document as a template first. The workflow action can only send templates that already exist, not documents you create on the fly.
Setting it up
- Go to Automation > Workflows and create (or open) a workflow.
- Choose the trigger that should kick things off — for example, a deal moving into a "Proposal" pipeline stage.
- Add the Send Documents & Contracts action.
- Select which template to send and which user it should be sent from.
- Choose whether the document should send directly or be created as a draft for someone to review first.
- Pick the delivery channel: email, SMS, or both.
- Save and publish the workflow.
Requirements to keep in mind
- The contact needs a valid email address on file, even if you're delivering by SMS — the system still requires it.
- Documents sent this way are mobile-friendly, and recipients can sign from a browser link without installing anything or creating an account.
Tracking what was sent
Every document sent through a workflow shows up in your normal Documents & Contracts dashboard, so you can filter by status (draft, waiting, completed) exactly like documents sent manually.
Why this is useful
This turns your proposal or contract process into a hands-off step in your sales pipeline — the right agreement goes out the moment a deal reaches the right stage, without anyone having to remember to send it.
