Notification Recipients and Opt-Outs
Not every notification needs to reach every person tied to an appointment, and not every appointment even has the same set of people involved. Vendi Today gives you control over exactly who receives each calendar notification.
The available recipient types
For each notification — booking, confirmation, reminder, reschedule, cancellation, and follow-up — you can choose to notify:
- The contact who booked the appointment
- Any guests added to the booking
- The assigned staff user
- Additional emails or phone numbers you specify manually, such as a shared office inbox
You don't have to notify everyone for every notification type — a reminder might go only to the customer, while a cancellation might go to both the customer and the assigned staff member.
Turning a recipient off
If a particular notification doesn't make sense for a certain audience, disable it for that recipient type rather than sending something irrelevant. For example, you might turn off follow-up notifications to staff since they already know the appointment happened, and only send that message to the customer.
Guests and additional contacts
When a customer adds guests to their booking, those guests can be included in the same notifications as the primary contact, keeping everyone in the loop without your team manually forwarding confirmations.
Good to know: Review your recipient settings any time you change how a calendar is staffed — a common gap is a new hire never getting added to a calendar's staff notification list, so their first bookings go unnoticed until a customer follows up asking if anyone's coming.
