Manually Booking an Appointment
Not every booking comes from a customer clicking through your online scheduling page. Sometimes a customer calls in, walks up to the front desk, or asks a staff member to grab them a slot over text. Vendi Today lets any authorized team member create an appointment on someone else's behalf directly from the backend, without the customer ever touching the booking widget.
Where you can start a manual booking
You can open the booking form from several places, depending on what you're already looking at:
- From the Calendars section, click directly on an open time slot on the calendar grid.
- From a customer's Contact record, open the Appointments tab and click Book Appointment.
- From an open Conversation with the customer, use the calendar icon in the message composer.
- From an Opportunity card, if you track this customer through a pipeline.
Filling out the booking
Once the booking form opens, pick the calendar the appointment belongs to and confirm which contact it's for (or create a new contact on the spot). Add a title if you want something more specific than the default, then set the start and end time — the system automatically adjusts for the customer's saved timezone so you don't have to do the math yourself. Choose where the appointment happens: your default location, a custom link, or an integrated video meeting. If the appointment repeats on a schedule, you can set up recurrence right from this form instead of booking each session one at a time.
Blocking time without deleting anything
If you need to hold a slot for an internal task or a tentative booking without wiping out existing appointments around it, use Blocked Off Time instead of a full booking. It removes the slot from availability without creating an appointment record tied to a contact.
Good to know: Manual bookings trigger the same confirmation and reminder notifications as self-service bookings, so double-check the contact's phone number and email before saving if you want them notified.
