Link Records Automatically with the Associate Records Action

Associate Records finds records that match your rules and links them to the record in the workflow, so relationships stay current without manual work. It handles contacts, companies, opportunities and custom objects.

Before you start

This action is in beta. Turn it on under Settings > Labs by enabling Associate Records - Workflow Action. The association types you want to use must already exist in your association settings.

Settings

  • Create Association With: the type of record to link.
  • Filter Records to Associate: one or more field rows with an operator (Equals, Is, Is not empty, Contains, greater than and more) and a fixed value or merge field from the enrolled record. All rows must match, and at least one row is required.
  • When Multiple Records Match: Associate with all matching records, earliest created record or latest created record.
  • Association Label: the label applied, such as "Potential Buyer".

Set it up

  1. Open a workflow and click +.
  2. Under Associations, choose Associate Records.
  3. Pick the object, build the filters, choose the strategy and label.
  4. Click Save action and publish.

Example

When a buyer contact is created with a preferred city and bedroom count, the action finds Property records with the same city and bedrooms and links all of them using the "Potential Buyer" label. A later step can notify the assigned team.

Good to know: Use merge fields from the enrolled record in filters so every contact matches against its own details.
