A Tour of the Workflow Builder

The workflow builder is where you design automations visually: a trigger on top, actions flowing down, and branches wherever you need decisions. This tour covers the parts of the screen you will use most.

The canvas

The canvas is unlimited in size. Use Fit to Screen, Zoom In, and Zoom Out at the bottom left, and the Minimap at the bottom right to find your place in a large workflow. To rearrange steps, hover over a step, grab the six-dot handle, and drop it where the Move here marker appears.

Triggers and actions

  • Triggers are the events that start a workflow. Click Add New Trigger, search or browse categories, then set its filters. Every trigger in a workflow can start it independently.
  • Actions are the steps that follow. Click the + on the line between steps and pick an action such as Send Email or Assign to User.

Special action types shape the flow: drip actions slow contacts down, conditional actions send them down different paths, and goal actions let contacts skip ahead.

Connecting external apps

Steps that rely on an outside service show their fields locked until you click Connect your account and finish setup in the pop-up. If several accounts are connected, an account selector appears in the step. If a connection is removed, the step locks again until you reconnect.

Controls along the top

  • Stats View shows enrolment and message statistics (see the Stats View article).
  • Test Workflow runs a contact through the workflow.
  • Save appears with a red dot when changes are unsaved.
  • History opens previous versions.
  • The Draft/Publish toggle decides whether the workflow runs for real.

Saving and publishing are independent: you can save a draft, or publish with unsaved changes pending.

Habits that pay off

  • Name every step clearly.
  • Keep each workflow small enough to view on one screen, and split large processes into several.
  • Watch for hidden loops, such as two workflows adding tags that trigger each other.

Good to know: Press Shift + W to jump between workflows without leaving the builder.
