Fixing Appointments Showing in the Wrong Timezone
Timezone problems are rarely one single bug — they're usually a mismatch between two or three different timezone settings that are each individually correct but don't agree with each other.
The three places timezone lives
- Account-level timezone — the default timezone for your business as a whole.
- Individual user/staff timezone — each staff member's profile can have its own timezone, which may differ from the account default if they work remotely.
- Calendar-level timezone — some calendars can be set to a specific timezone independent of both of the above, useful for a location-specific calendar.
When these three don't agree, appointments can display correctly to one party and incorrectly to another.
Diagnosing the mismatch
- Check the account-level timezone setting first, since it's the fallback when nothing more specific is set.
- Check the timezone on the specific calendar involved — confirm it's set to match the actual physical location where the appointment happens, if that's relevant.
- Check the individual staff member's profile timezone if the issue is specific to their bookings and not others.
- Ask the customer what timezone they were shown when they booked — booking pages typically detect the visitor's browser timezone and display slots accordingly, so a customer traveling or using a VPN can see times shifted from what you'd expect.
Fixing it
Align account, calendar, and user timezones to reflect where the actual work happens, and don't rely on the customer to manually double check unless your booking page doesn't auto-detect their timezone.
Good to know: Any internal troubleshooting tool tied to your calendar typically shows availability from the logged-in staff member's own timezone, not the customer's — keep that in mind so you're not comparing two different frames of reference by accident.
