Assigning Phone Numbers to Users
Assigning a number to a user means every inbound call to that number rings that specific person. It's the simplest way to give someone a direct line.
Rules to know
- Each user can have only one assigned number.
- Each number can be assigned to only one user at a time — if you need a number to ring several people, use call routing/ring-all instead of a direct assignment.
How to assign a number
From the user's profile:
- Go to Settings > My Staff and open the user.
- Under Call & Voicemail Settings, choose the number from the Inbound Number dropdown.
- Save.
From the phone numbers list:
- Go to Settings > Phone System > Phone Numbers.
- Find the number and set it to ring a specific user, or add them to a Ring All group if multiple people should be notified of calls to that number.
From a contact record: If a contact isn't yet tied to a specific team member, you can assign one directly from the contact record — future calls related to that contact route to the assigned user.
Changing an assignment
Reassigning a number to a different user simply overwrites the previous assignment — the old user stops receiving calls to it immediately, and the new one starts.
