Auto-Generating Zoom Meeting Links for Appointments

Manually creating a Zoom meeting and pasting the link into every confirmation email doesn't scale. Once Zoom is connected as your calendar's meeting location, a unique link is generated automatically for every new booking.

How it works

When a calendar's meeting location is set to Zoom, each new appointment automatically creates a corresponding Zoom meeting behind the scenes. The generated link is included in the customer's confirmation and reminder messages, and it also appears on the appointment as it shows in your connected calendar.

Connecting Zoom

  1. Go to either your profile settings or your calendar's settings — both offer a path to connect Zoom, so use whichever is more convenient.
  2. Authorize the connection through Zoom's sign-in screen.
  3. Open the calendar you want to use Zoom for, and set its meeting/conferencing location to Zoom.
  4. Book a test appointment and confirm a working Zoom link is generated and appears correctly in the confirmation message.

Things to check if links stop generating

If new bookings stop producing Zoom links, the most common causes are a disconnected or expired Zoom authorization, or the calendar's meeting location having been changed away from Zoom without anyone noticing. A free Zoom account is enough for link generation to work — but time limits on free-tier meetings still apply, so long appointments on a free Zoom plan may cut off mid-call.

Good to know: If your team has multiple staff taking Zoom-based appointments, each staff member generally needs their own connected Zoom account so meetings are hosted from the correct individual account rather than a single shared one.
