Create and Send Estimates

Send a customer a preliminary price quote they can review and approve before you turn it into a real invoice — useful any time you need sign-off before billing.

Create an estimate

1. Go to Payments > Invoices and Estimates > Estimates and click New.
2. Enter your business details, the customer's information, and an expiration date for the quote.
3. Add the products or services being quoted.
4. Send it by email or SMS.

Client response

Customers can accept or reject the estimate themselves from the link they receive. If you get confirmation another way — a phone call, for instance — you can manually mark the estimate as accepted or rejected on your end.

Convert to an invoice

Once an estimate is accepted, convert it directly into an invoice from the dashboard or from the accepted estimate itself — no need to rebuild the line items from scratch.

Track your pipeline

Estimates move through stages — Draft, Sent, Accepted, Declined, Invoiced — so you can see at a glance what's in progress and what's converted, along with total pipeline value.

Sending to multiple people

An estimate can go to more than one recipient at once. Add each person and designate them as either a Signer (has a signature field) or a CC recipient (receives the document without needing to sign). Each recipient gets their own unique link. The first person you add becomes the Primary recipient, which determines whose information populates custom fields and who the resulting invoice, if any, is billed to. Once everyone signs, Vendi Today generates a signed PDF along with a certificate recording each signer's IP address, location, and the date and time they viewed and signed.

On mobile

Estimate templates created on the web can be used to quickly generate new estimates from the mobile app — handy for a team member finishing a quote on-site. Templates themselves can only be created, edited, or deleted from the web; mobile can only apply them.
