Refunding a Calendar Payment
Cancellations happen, and when a customer paid at the time of booking, you need a clean way to get their money back. Refunds for calendar payments in Vendi Today aren't issued from the appointment itself — they're handled through your payments dashboard or directly through your payment processor.
Where to issue the refund
Rather than a refund button on the appointment card, go to Payments > Transactions to find the specific charge tied to that booking. From there, you can process a full or partial refund back to the customer's original payment method. If you're using a processor like PayPal, you can alternatively issue the refund from within that processor's own dashboard.
What happens to the appointment
Issuing a refund doesn't automatically cancel the appointment, and cancelling the appointment doesn't automatically issue a refund — the two are separate actions. If a customer cancels and expects their money back, make sure your team does both: cancel the appointment so the slot frees up, and process the refund through Transactions so the money actually moves.
Checking refund status
Once a refund is processed, it shows up in the transaction history for that appointment, visible from the appointment's Payments tab alongside the original charge — so anyone reviewing that booking later can see the full picture, not just the initial payment.
Good to know: Build a habit of checking both boxes — cancel and refund — whenever a paid appointment falls through. It's an easy step to forget since neither action triggers the other automatically.
