Send Estimates Automatically from a Workflow

The Send Estimate action builds an estimate from one of your estimate templates and delivers it to the contact by email, text, or both. Use it to send proposals the moment a lead reaches the right stage, with consistent branding, taxes and totals.

Prerequisites

  • Payments is set up and a payment processor is connected.
  • At least one active Estimate Template exists, with branding, taxes and currency set.
  • The contact has a valid email address and/or phone number, matching the channel you pick.
  • Your email domain is verified, and for texts the contact has opted in.

Add the action

  1. Open Automation > Workflows and create or edit a workflow.
  2. Add a fitting trigger, such as Pipeline Stage Changed, Opportunity Status Changed or Form Submitted.
  3. Click + and choose Send Estimate.
  4. Select the From User and the Estimate Template.
  5. Choose Payment Mode: Live for real payments, Test for safe trial runs.
  6. Choose Sending Mode: Create as Draft (saved for you to review first) or Send Directly.
  7. Choose the Channel: Email, Text, or Email & Text (the default).
  8. Click Save Action, test, then publish.

Example: renovation quotes

Trigger: Opportunity Created in the "Site Visit Done" stage. Action: Send Estimate using the "Home Renovation Proposal" template, from the project manager, in Live mode, sent directly by email and text. The client receives the quote within seconds of the stage move.

Things to know

  • The estimate is sent in the name of the From User. If that person is deactivated, edit the action and choose someone active.
  • If a contact only has an email, the text half is simply skipped.
  • Track views and acceptance on the contact record or in the estimates area (Sent, Viewed, Accepted, Declined, Paid).
  • Use Test mode with a contact you control before going live.

Good to know: Choose Create as Draft for high-value quotes so a person reviews pricing before it reaches the customer.
