Use Calendly Triggers and Actions in Workflows

If your team books meetings in Calendly, these steps let a workflow follow along and also book or cancel on someone's behalf.

Triggers

  • Invitee created (instant)
  • Invitee canceled (instant)
  • Invitee no show created (instant)
  • New routing form submission (instant)
  • Event cancelled (checked about every five minutes)

Actions

  • Events: Create one-off meeting (a single-use link with host, duration up to 720 minutes, and date range), Book meeting for invitee, Find event, Cancel an event.
  • Invitees: Mark invitee as no show.
  • Contacts: Create contact, Find contact, Update contact.
  • Users: Find user by email or user URI.

Build a workflow

  1. In Automation > Workflows, click Add New Trigger, open the Apps tab, and search for Calendly.
  2. Select Invitee created and choose Connect Now if prompted.
  3. Name the trigger and add filters if desired.
  4. Click Find New Records, pick a sample record as the mapping reference, and save the trigger.
  5. Add actions such as creating a Contact, adding a tag, and sending a confirmation.
  6. Save and publish.

Examples

  • On Invitee no show created, send a polite reschedule message with a one-off link generated by Create one-off meeting.
  • On Invitee canceled, move the opportunity back a stage.

Good to know: Event type and host selections depend on the account you connected, so make sure it is the one that owns the calendar.
