Filter the Workflow List and Save Smart Lists
When your account has many workflows, filters help you find the right one quickly, and Smart Lists save a filtered view so you do not have to rebuild it.
Filters versus Smart Lists
A filter is temporary: you set conditions, review the results, and walk away. A Smart List stores those conditions as a permanent tab on the Workflows page. Use filters for one-off searches and Smart Lists for views you open often, like "everything triggered by a form."
Apply a filter
- Go to Automation > Workflows.
- Click Advanced Filters at the top right to open the side panel.
- Add conditions. You can filter by status (for example Paused), trigger type, action type, tags, and other attributes.
- Use And when every condition must match, or Or when any one can match. Click + Add Filter Condition for more rows, and the trash icon to remove one.
- Click Apply.
Save as a Smart List
- After applying filters, click Save.
- Choose Save as New Smart List and name it.
- Alternatively, click + Smart List at the top of the page and build the filters from scratch.
Saved lists appear next to the standard categories. Click one to apply its filters instantly. To edit or delete it, open it and click Customize List, then adjust and save.
Good to know: Smart Lists also work with bulk actions, so you can filter to every draft workflow and move or publish them in one go.
