Follow Up on Quotes with the Estimates Trigger

The Estimates trigger starts a workflow when something happens to an estimate you have sent. It keeps quotes moving by prompting follow-ups and turning accepted estimates into action.

Statuses

  • Sent: the estimate was created and sent but not opened.
  • Viewed: the customer opened it but has not decided.
  • Accepted: the customer approved it.
  • Declined: the customer chose not to proceed.
  • Invoiced: the estimate was converted into an invoice.

Filters

  • Estimate Status: with operators Is, Is Not, Is Empty and Is Not Empty. For example, "Is Not Declined" matches everything except declined estimates.
  • Estimate Value: compare the total using numeric operators.
  • Estimate Template: only estimates created from a chosen template.

Set it up

  1. In Automation > Workflows, create a workflow and click Add New Trigger.
  2. Select Estimates from the Payments group.
  3. Name it, such as "Estimate accepted".
  4. Click Add filters and choose Estimate Status, then Is and Accepted.
  5. Click Save Trigger, add actions, and publish.

Example workflows

  • Viewed: wait a day, then send a friendly question and create a call task.
  • Accepted: send a thank-you, create an opportunity in your pipeline and assign it to the right person.
  • Declined: tag the contact and send a short survey asking why.
  • Large value: notify a manager when an estimate over a set amount is sent.

Tips

  • Use Estimate Template to give each service its own follow-up tone.
  • Add a Condition that stops reminders once the estimate is accepted.

Good to know: Pair with the Invoice trigger so the quote and billing steps flow together.
