Preventing and Fixing Double-Booked Appointments
A double booking usually isn't random — it almost always traces back to one specific gap in how availability is being calculated. Here's how to find it and close it.
Common causes
- Missing conflict calendars — if a staff member has personal commitments in an external calendar that isn't connected as a conflict calendar, that time won't be blocked and can get booked over.
- A team member not connected at all — on round robin or collective calendars, every staff member needs their own calendar connection; one person left unconnected creates a blind spot.
- Manual bookings entered without checking existing appointments — staff entering a booking by hand can override the automatic conflict check if they force it through despite a warning.
- Buffer time not configured — without a buffer, back-to-back bookings can land close enough together to functionally overlap.
Diagnosing an existing double booking
- Open the conflicting appointments and check which calendars and staff each one is tied to.
- Check whether the staff member's external calendar (Google, Outlook, iCloud) was connected and set as a conflict calendar at the time both bookings were made.
- Check the timestamps both bookings were created — if one was entered manually, confirm whether a conflict warning was shown and overridden.
Fixing it going forward
Connect every staff member's calendar individually, mark the right external calendars as conflict calendars, and set a sensible buffer time on any calendar prone to back-to-back scheduling. Where manual bookings are common, make sure staff know not to override a conflict warning without a real reason.
Good to know: A calendar's built-in troubleshooting tool can show you exactly which users are in conflict for a given time slot — use it before assuming the cause rather than guessing.
