Editing Templates Inside Workflow Steps Safely

You can adapt a template for one workflow without changing the original. Knowing how copies behave keeps your template library clean.

How it works

When you pick a template for a Send Email action, the step receives its own copy. With Sync Edits to Template off, anything you change stays in that step. With it on, the step and template update each other.

Customizing a template in a step

  1. Open Automation > Workflows and edit the Send Email action.
  2. Choose Select Template and pick one.
  3. Click the three dots on the preview and choose Edit Design.
  4. Make your changes in the editor.
  5. To change subject and preview text, open the three-dot menu and choose Settings.
  6. To review earlier drafts, choose See Version History.

Two ways to save

  • Save updates the email in this workflow step only.
  • Save as new Template stores your customized version in the template library under a new name, leaving the original untouched.

Test before you save the action

Enter one or more addresses in Test Emails and click Send Test Mail to see formatting, personalization and design in a real inbox.

Frequently asked questions

  • Can I relink to the original later? Yes, by turning sync on again.
  • Which workflows use a template? The Sync Changes view in the template editor lists them.
  • Does editing after a one-time sync change the template? No, edits stay local unless you save a new template.
  • Can I lock workflow emails from editing? There is no lock, so use role permissions and team guidelines.

Good to know: Name saved variations clearly, such as Welcome Email - Spanish, so teammates can reuse them confidently.
