Welcome New Leads with the Contact Created Trigger

The Contact Created trigger starts a workflow every time a brand-new contact record appears. It is the usual starting point for welcome messages, lead routing and tidy-up steps.

When it fires

A workflow runs when a contact is added by hand, through a form, through the API or through a connected integration. Bulk imports do not fire it, to avoid accidentally messaging a whole list at once. If a new submission matches an existing contact by email or phone and is merged into that record, no new contact is created, so the trigger does not fire again.

Filters

  • Tag: choose how tags must match. Operators include Equals to, Not equals to, Any of (at least one selected tag is present) and None of (none of them are present). All of them accept several tags.
  • Several tag filters together combine with AND logic. For example, tag equals "Lead" and tag not equals "Low Quality".
  • Custom Fields: limit to contacts whose fields meet a rule, such as an industry or lead score value.

Set it up

  1. Go to Automation > Workflows and click Create Workflow.
  2. Click Add New Trigger and select Contact Created.
  3. Name it, for example "New lead welcome".
  4. Click Add filters and set tag or custom field rules.
  5. Click Save Trigger, add actions, and publish.

Example actions

  • Send a welcome email and a short text.
  • Use Assign to User to distribute leads among your team.
  • Add a "New Lead" tag and create a pipeline opportunity.
  • Notify the sales manager internally.

Handling imports

If you do want automation for imported contacts, add them to a separate workflow manually, or tag the imported list and use a tag-based trigger.

Good to know: Contacts created by a form fire this trigger and Form Submitted at the same moment, so use only one of them for your welcome message.
