Appointment Statuses Explained
Every appointment in Vendi Today carries a status that tells you — and your reporting — exactly where things stand. Keeping statuses accurate is what makes your no-show rate, attendance reports, and follow-up automations actually mean something.
The core statuses
- Confirmed — the customer has acknowledged the booking, either by clicking a confirmation link or being manually marked as confirmed by staff. Many calendars start new bookings in an unconfirmed state until this happens.
- Showed — the appointment happened and the customer attended. This is typically set by staff after the appointment time has passed.
- No-Show — the appointment time passed and the customer never showed up. Setting this status (rather than leaving it blank) is what lets no-show reporting and follow-up sequences work correctly.
- Cancelled — the appointment was called off before it happened, by either the customer or your team.
- Invalid — used for bookings that shouldn't count toward your scheduling metrics at all, such as test appointments or duplicate entries created by a syncing glitch.
Changing a status
You can update an appointment's status from the calendar view by opening the appointment card, or in bulk from the appointment list view by selecting the status directly from each row. There's no need to open every appointment individually when you're clearing out a full day's worth of completed sessions.
Why status hygiene matters
Statuses drive more than just a label on the calendar. Automations tied to your calendars — like a no-show follow-up message or a "thanks for coming in" review request — typically trigger off status changes. If your team leaves appointments sitting as unconfirmed or blank after the fact, those automations either fire at the wrong time or never fire at all.
Good to know: Set aside a few minutes at the end of each day to clear out statuses for that day's appointments — it keeps your reporting trustworthy and your automations reliable.
