Shorten Long Text with the AI Summarize Action

AI Summarize condenses long text into a short version of a length you choose. It keeps the key points, drops repetition, and hands the result to the next step as a variable. It is a premium action, so each execution is billed a small usage fee.

Configure it

  1. In your workflow, click + and search for AI Summarize.
  2. Name the action, for example "Summarize customer review".
  3. Set the target length in Max Length. You can phrase it as words ("50 words"), characters ("280 characters"), sentences ("3 sentences") or paragraphs ("1 paragraph").
  4. In Input Text, type fixed text or insert variables with the picker. You can combine several values in one field to summarize them together.
  5. Click Save.

Use the output

The summary becomes a custom value you can pick in any later step. Typical destinations:

  • An SMS or email body.
  • A contact custom field or note.
  • An internal notification or team chat message.
  • Another AI action.

Practical examples

  • Text-friendly confirmations: shrink long appointment notes to 160 characters, then text them.
  • Manager digests: when an opportunity changes stage, summarize all notes into one paragraph and email the owner.
  • Review alerts: cut a long review to 50 words before posting it in a team channel.
  • Chained summaries: summarize a huge transcript to 500 words first, then again to 100 for an executive view.

Tips

  • Always test with real samples before publishing.
  • The AI decides what matters. If certain details must be kept or removed, clean the text with other steps first.
  • Put the length rule in the field rather than hoping for brevity.

Good to know: Summaries are generated fresh on every run, so wording may vary slightly between contacts.
