Automate Follow-Ups When a Call Transcript Is Ready

The Transcript Generated trigger starts a workflow the moment a recorded call has been turned into text. It lets you act on what was actually said, instead of relying on notes someone remembers to write.

What fires it

The trigger works for calls handled inside Vendi Today:

  • Voice AI calls: transcription is on by default.
  • Phone calls: turn on transcription in Phone Settings.
  • IVR calls: turn on transcription in IVR Settings.

If transcription is switched off, the trigger panel shows a link to the right settings page. The trigger fires only after a transcript succeeds. Calls imported from outside systems do not fire it.

Filters

  • Call Type: Voice AI, IVR or normal calls.
  • Call Direction: inbound or outbound (optional).
  • Call Duration: a minimum length, for example over 30 seconds, to ignore missed or very short calls (optional).

Set it up

  1. Go to Automation > Workflows and create or open a workflow.
  2. Click Add New Trigger and select Transcript Generated.
  3. Make sure transcription is enabled for the call type you picked.
  4. Add the filters you need.
  5. Click Save Trigger, add actions, and publish.

What you can do with it

The transcript, call duration, direction and timestamps are available as values in later steps. If Voice AI translation is enabled, translated transcript and summary values are available too. Ideas include:

  • Send the transcript to a teammate by email.
  • Pass it to an AI action to detect buying intent, then tag the contact and create a task.
  • Write a short summary to a custom field on the contact.

Good practice

Several workflows can use the same event, but give them different filters so contacts do not receive duplicate messages. A partly transcribed call still fires, with the missing text left blank.

Good to know: Set a minimum duration so voicemails and accidental hang-ups do not create pointless tasks.
