Automating Bookings with Workflows
Not every appointment needs a human to click "book." When a booking should happen automatically as part of a larger process — say, a customer completes a payment and should be immediately scheduled for onboarding — Vendi Today's automation workflows can create the appointment for you.
Booking an appointment automatically
Inside a workflow, add the Book Appointment action at the point in the sequence where a booking should happen. Configure which calendar the appointment goes on, and the action will find and reserve the next available slot (or a specific time, depending on how you set it up) for the contact moving through that workflow. This is useful for things like auto-scheduling a welcome call the moment someone fills out a signup form, or booking a follow-up session a set number of days after a purchase.
Adding a note automatically
Pair booking automation with the Create Appointment Note action to attach context to the appointment the moment it's created — for example, logging which product the customer purchased or which form triggered the booking. This saves your staff from having to reconstruct that context manually when they open the appointment later.
When to use this vs. manual booking
Automated booking works best for predictable, repeatable moments in your customer journey — onboarding calls, mandatory follow-ups, or scheduled check-ins. For anything that depends on a real conversation about timing, a staff member manually booking the appointment is still the better fit.
Good to know: Appointments created by a workflow follow the exact same notification rules as any other booking, so make sure your confirmation and reminder notifications are configured the way you want before turning on automated booking.
