What Workflows Are: Triggers, Actions, and Your First Build
Workflows is Vendi Today's automation builder. It lets you describe "when this happens, do that" once, then have the platform repeat it for every contact without anyone lifting a finger.
The two building blocks
- Trigger: the event that admits a contact into the workflow, such as a form being submitted, an appointment being booked, a tag being added, or an invoice being paid.
- Action: a task that runs after the contact is admitted, such as sending an email or SMS, updating a Contact record, creating an opportunity, waiting a set time, or branching on a condition.
A single workflow can hold several triggers and a long chain of actions, so one automation can cover an entire process from first inquiry to follow-up.
Typical uses
- Capture a new lead, assign it to a teammate, and send a welcome message.
- Confirm Calendar bookings and send reminders before the appointment.
- Notify your team when a Conversations message needs attention.
- Nudge unpaid Payments invoices after a few days.
Build a workflow
- Go to Automation > Workflows.
- Click + Create Workflow.
- Choose how to begin: a ready-made Recipe, a Template from the library, or Start from Scratch.
- Click Add New Trigger and pick the event that should start the process.
- Click the + below the trigger to add your first action, then keep adding steps.
- Click Save, then use Test Workflow to run a sample contact through it.
- When you are happy, switch the workflow from Draft to Publish.
Good to know: Test with your own contact record before publishing so you can see exactly what customers will receive.
