Create and Send Contracts Automatically from a Workflow
The Send Documents & Contracts action generates a document from one of your templates for a contact and either sends it immediately or saves it as a draft for someone to review. It is ideal when many people close deals but one person owns the final send.
Settings
- From User: who appears as the sender.
- Template: the document or contract template to use.
- Sending Mode: Create as Draft (generated, not delivered) or Send Directly.
- Channel: how it is delivered, such as email.
- Assign Sender Fields To: if the template has fields marked "to be signed by Sender", choose From User (the user sending) or Template Owner (the person who last edited the template). This removes manual edits on each send.
Build a draft-and-review flow
- Create a workflow with a trigger such as a pipeline stage change, a completed form or an opportunity status update.
- Click + and choose Send Documents & Contracts.
- Name it, for example "Draft contract creation".
- Select From User and Template.
- Set Sending Mode to Create as Draft.
- Choose how sender fields are assigned, then Save Action and publish.
Sending the drafts
- Go to Payments > Documents & Contracts.
- Find the drafts.
- Review and make final edits.
- Click Send. The contact receives it and you can track status from there.
Anyone with the right permissions can review drafts, so teams can share the checking step.
Important limitation
A workflow only evaluates a document's status at the moment the contact enters. If a contact entered on "Document Sent", a later branch checking "Status is Completed" will not update when the document is signed. Use a separate workflow with a completion trigger instead.
When to skip drafts
If no review is needed, choose Send Directly and the contract goes out as soon as the step runs.
Good to know: Draft mode is a built-in safety net that prevents contracts reaching customers before pricing or terms are confirmed.
