Anchor Reminders to an Event with Set Event Start Date

Set Event Start Date/Time gives the workflow a reference date for a webinar, appointment or any dated moment. Later Wait steps can then count forward or back from it.

Choose the date source

  • Custom Field: a date field on the contact.
  • Specific Date/Time: an exact value you type in.
  • Specific Day: a chosen day.

Accepted text formats include MM-DD-YYYY HH:MM, such as 12-21-2021 08:30, and DD-MMM-YYYY HH:MM, such as 21-OCT-2021 08:30, in 24-hour time.

Pair it with a Wait

  1. Add Set Event Start Date/Time and save it.
  2. Add Wait and choose An upcoming appointment or booking.
  3. Choose when to proceed: before, at or after, and the number of months, days, hours and minutes.
  4. Choose what happens if that moment has already passed: continue, go to a step, exit, or skip outbound messages until the next wait.

You can add several waits to create a whole timeline.

Example: webinar sequence

Set the event date from a registration field. Wait until 2 days before, send a reminder. Wait until 1 hour before, send a text. Wait until 1 day after, send a replay email.

Notes

  • Recurring events are possible by looping back with Go To after each event.
  • Use more than one event date by adding another Set Event Start step later.
  • If someone joins after the date, your "already passed" setting decides what they receive.
  • Time zone behavior follows your workflow settings.

Good to know: Choose the skip-outbound option for late registrants so they do not receive a burst of old reminders.
