Fixing Availability That Looks Wrong Despite Correct Settings

Few things are more frustrating than checking a calendar's settings, finding everything correct, and still seeing availability that doesn't match. Usually the setting causing the problem isn't the one you're looking at.

Look beyond the obvious settings

  1. Conflict calendars — an external calendar event marked busy will block a slot even though nothing in your working-hours or availability settings changed. Check connected external calendars for events you forgot about.
  2. Buffer time — a slot that looks like it should be open might be inside another appointment's buffer window, which isn't always visually obvious on a calendar view.
  3. Staff assignment — on a service with restricted staff assignment, availability reflects only assigned staff members — if someone was recently removed from a service's staff list, slots tied to them will disappear even though the calendar's general hours look unchanged.
  4. Minimum notice / booking window settings — a minimum scheduling notice (like "24 hours in advance") can make near-term slots disappear in a way that looks like a bug but is actually working as configured.

Check for a timezone mismatch

A common cause of "availability looks wrong" is actually a timezone display issue rather than true unavailability — confirm you and the person reporting the issue are looking at the same timezone before troubleshooting further.

Use the troubleshooting tool

Most calendars offer a built-in troubleshooting or diagnostic view that shows exactly why a given slot is blocked — whether it's a conflict calendar event, a buffer, or an assignment issue — rather than requiring you to check every setting manually.

Good to know: Availability is the sum of several independent settings layered together — working hours, buffers, conflict calendars, staff assignment, and booking windows — so a fix usually means checking each layer individually rather than looking for one master toggle.
