Rescheduling and Canceling Appointments
Plans change, and your team needs a fast way to move or cancel an appointment without forcing the customer to rebook from scratch. Vendi Today lets staff handle both actions directly from the backend, whether they're looking at the calendar grid or the appointment list.
Rescheduling from the backend
Open the appointment you need to move — either by clicking it on the calendar or selecting it from the appointment list — and choose Reschedule. Pick a new date and time; the system re-checks availability the same way it would for a new booking, so you won't accidentally create a conflict with another appointment or with a staff member's blocked time. Once saved, the customer's confirmation record updates automatically and, if reschedule notifications are turned on for that calendar, they're notified of the new time without any extra work on your end.
Canceling from the backend
To cancel, open the appointment and select Cancel instead of deleting it outright. Canceling preserves the appointment as a record with a Cancelled status, which keeps your reporting accurate and keeps the appointment visible in the customer's history. You'll usually be prompted to add a short reason, which is helpful later if you're reviewing why a particular week had a lot of drop-offs.
Cancel vs. delete
Deleting an appointment removes it entirely, including from reporting and from the customer's appointment history. Canceling is almost always the better choice — it keeps a record while freeing up the slot for someone else to book. Reserve deletion for true mistakes, like a duplicate test booking.
Good to know: If a customer reschedules themselves through their confirmation link, it shows up in your calendar exactly the same way a staff-initiated reschedule does — there's no separate log to check.
