Leave a Pre-Recorded Message with the Voicemail Action
The Voicemail action delivers an audio file you uploaded as a voicemail to the contact, without a live call. It is good for gentle nudges when a text or email might be missed.
Settings
- Action Name: identifies the step.
- Drop Your File: click Upload file, choose a recording from your computer, and play it back to confirm it is the right one. Use a format compatible with voicemail playback.
Set it up
- Record a short, friendly message, around 15 to 30 seconds.
- In your workflow, click + and choose Voicemail.
- Upload the file and listen to the preview.
- Click Save Action and publish.
Good triggers to pair with it
- Appointment Status Changed to No-Show: send a message inviting them to reschedule.
- A follow-up reminder when a contact has not replied after a set time.
Example
Trigger: appointment marked No-Show. Action: Voicemail with a file named "Reschedule" that says you missed them and explains how to pick a new time. Follow it with a Send SMS containing your booking link.
Writing a good recording
- State your name and business in the first sentence.
- Give one clear next step.
- Speak the phone number slowly or point to the text you sent.
Good to know: Pair the voicemail with a text or email, because many people prefer to act from a written link.
