Decline a Document
Not every document a client receives gets signed — sometimes they need to reject it outright. Recipients have a built-in way to decline rather than just ignoring the request.
How a recipient declines
- They open the document they received.
- They click the menu in the top-right corner.
- They select Decline Document.
- If reasons are available, they choose one (or more) that apply.
- They can add an optional note explaining further.
- They submit to finalize the decline.
What happens after a decline
- The document's status changes to Declined.
- It automatically moves to your Archived section.
- It can no longer be signed — a declined document is closed, not paused.
- The decline reason, any note, a timestamp, and who declined it are all saved and viewable.
Why this matters for you
Because decline details are recorded, you can review why a client backed out — pricing, timing, scope, whatever they indicated — and use that information for reporting or to trigger a follow-up. You can also set up a workflow that reacts automatically to a decline, such as notifying the assigned rep or scheduling a check-in call.
