Workflow Settings Explained
Each workflow has a Settings tab that controls who can enter, when messages may go out, and who they appear to come from. Reviewing it before you publish prevents most surprises.
Open the settings
- Go to Automation > Workflows.
- Open a workflow.
- Click the Settings tab at the top.
Contact settings
- Allow Re-entry: when on, a contact can run through the workflow again after finishing or being removed, but never while still active. Workflows triggered by appointments or invoices always allow repeat entry for each new item.
- Allow Multiple Opportunities: for opportunity-triggered workflows, each of a contact's deals can start its own run. It is on for newly created workflows. Updating a deal mid-run does not restart the workflow.
- Stop on Response: removes a contact once they reply to a message from this workflow, so automation doesn't talk over a human conversation.
Communication settings
- Timezone: choose the Account Timezone or each Contact Timezone. Contacts without a timezone fall back to the account's.
- Time Window: limit communication steps to chosen start and end times and days. Steps scheduled outside the window pause and resume at the next opening. The same window applies on every selected day, and internal steps such as tags and field updates are not held.
- Sender Details: default From Name, From Email, and From Number for the whole workflow. If these won't save, check that the email is complete and matches your sending domain, and look for overrides inside individual email actions.
- Mark as Read: keeps conversations from this workflow from showing as unread, helpful for administrative automation.
Common questions
- Turned re-entry off but need repeat appointments? Appointment workflows still allow them.
- Calling contacts? See the article on Stop on Response and voicemail detection.
Good to know: Set the Time Window and contact timezone together to make sure a "9 AM" text really lands at 9 AM for each person.
