Community Triggers: Group Access Granted and Revoked
If you run communities, two triggers let workflows react whenever someone joins or loses access to a group: Group Access Granted and Group Access Revoked.
What they do
- Group Access Granted fires when a member is given access to a specific community group. Use it to welcome people and point them to what matters.
- Group Access Revoked fires when a member's access to a group is removed. Use it to notify them, update records or tidy tags.
Both are set to a particular group, so you can give each group its own journey.
Set one up
- Open Automation > Workflows and click Create Workflow.
- Click Add New Trigger and select Group Access Granted or Group Access Revoked.
- Name it, for example "Book club welcome".
- Choose the Group the trigger applies to.
- Click Save Trigger and add actions.
- Test in a controlled way, for example with a test member, then publish.
Examples
- Granted: a new member joins a book club. Send a welcome message with posting guidelines, tag them "Book Club", and notify the community manager.
- Revoked: a member breaks guidelines in a professional networking group and loses access to "Job Postings". Send a polite notice with how to appeal, update their record and remove their group tag.
- Upgrade path: when access to a free group is revoked after membership ends, offer a paid plan.
Tips
- Pair the pair: build both triggers for each group so tags always mirror real access.
- Keep revocation messages factual and kind, and include a contact for questions.
Good to know: Use a distinct tag per group so you can build segments and see at a glance who belongs where.
