Customizing Notification Templates for Calendars
Generic, robotic booking messages don't feel like they came from your business. Vendi Today lets you customize the wording, formatting, and personalization of every calendar notification so it sounds like you — not like default software copy.
Editing a template
Open a calendar's Notifications settings and select the notification type you want to edit — confirmation, reminder, reschedule, cancellation, or follow-up. Email notifications open in a full drag-and-drop email builder where you can adjust layout, add your logo, and write your own copy. SMS and WhatsApp messages are edited as plain text, though WhatsApp templates need to go through approval before they can be used.
Personalizing with merge fields
Rather than writing a generic message, pull in real appointment details using merge fields — things like the customer's name, the appointment date and time, the assigned staff member, and the location. Insert them using the merge field picker so you don't have to memorize the exact field syntax. A message like "See you Thursday at 2:00 PM with Jordan" reads far better than "Your appointment is confirmed."
Different templates per recipient
Because customers and staff often need very different information, you can write separate content for each recipient type on the same notification — a warm, branded message for the customer and a short, functional one for staff — instead of forcing one message to serve both audiences.
Turning off what you don't need
Not every notification type needs to be active for every calendar. If follow-up messages don't make sense for a particular service, disable that notification for that calendar's recipients rather than leaving it on with irrelevant content.
Good to know: Preview and send yourself a test notification before rolling out a new template — small formatting issues are much easier to catch in a test message than after a customer points one out.
