Set Up Email Notifications for Documents & Contracts

Vendi Today can automatically email both your clients and your team as documents move through the signing process. These notifications are configured separately so you can control exactly what each audience sees.

Customer-facing notifications

Go to Payments > Documents & Contracts > Settings and open the customer notifications section. Here you can:

  • Set the From Name and From Email that clients see, so it matches your business identity.
  • Add CC recipients who should be copied on every client-facing email for a document.
  • Pick the email template used for each stage of the process: when a document is received, when it's signed, and when it's about to expire.

Templates need to exist before you can select them — build them under your email templates library first. Inside a template you can use merge fields like the contact's first name or the document link so each email is personalized automatically.

Internal team notifications

In the same settings area, you can configure a separate sender and separate alerts for your own team:

  • Turn on an alert when a client signs a document, so the right person knows immediately.
  • Turn on an alert when a client views a document for the first time, useful for timing a follow-up call.

If you need alerts to go to different people depending on the situation — say, the assigned rep versus a manager — build that logic with a workflow instead of relying on the default notification settings.

Saving your settings

Configure both sections, then save. The settings apply account-wide to every document sent going forward; they don't retroactively affect documents already in progress.
