Set an Expiration Date for Documents

If a proposal or quote shouldn't be valid forever, you can set an expiration window so it automatically closes for signing after a certain amount of time.

Setting it up

Go to Payments > Documents > Settings to configure expiration, either as an account-wide default or per individual document. The countdown starts from the moment the document is actually sent, based on the sender's timezone.

What happens when a document expires

  • Its status automatically changes to Expired in your dashboard.
  • Recipients who try to open it are shown a notice that it's no longer valid.
  • Signing and any data entry on the document are disabled.
  • The document itself isn't deleted — it stays visible in your dashboard for reference.

Reminders before expiration

You can turn on an automatic reminder email sent to recipients one day before their document expires, and customize the subject line and message body of that reminder.

One important limitation

Once a document is sent, its expiration date is locked in and can't be edited afterward. If you need to give someone more time, you'll need to create and send a new document rather than extending the original.

Why use this

Expiration keeps outdated pricing or terms from being signed later by mistake, and creates a natural sense of urgency for clients to respond while an offer is current.
