Note Triggers: Act When a Note Is Added or Edited

Notes hold the context behind a contact, from call summaries to special requests. Two triggers let workflows react the moment a note is written or updated.

The triggers

  • Note Added fires when a new note is attached to a contact.
  • Note Changed fires when an existing note is edited.

Both are found in the Contact group of the trigger list and share the same filters.

Filters

  • Has Tag: only contacts carrying the tag you choose.
  • Doesn't Have Tag: only contacts without it.

The note text is not matched by the trigger. If you need to react to certain wording, send the details to a teammate or an AI step that reads the note.

Set it up

  1. Go to Automation > Workflows and open or create a workflow.
  2. Click Add New Trigger and select Note Added or Note Changed.
  3. Name it, such as "VIP note added".
  4. Click Add filters and choose Has Tag or Doesn't Have Tag.
  5. Click Save Trigger, add actions, and publish.

Example workflows

  • Support escalation: when a note is added to a contact tagged "High Priority", notify the support manager and create a same-day task.
  • Event follow-up: a note added to a contact tagged "Attended webinar" creates a task for the account owner to call.
  • Account review: when a note changes on a contact tagged "Important Client", alert the account manager and log a task to review the edit.

Tips

  • Create one workflow with both triggers if the follow-up is the same.
  • Avoid a loop where the workflow itself writes a note that starts the same workflow again.

Good to know: Use Doesn't Have Tag with a "Handled" tag so the same contact is not escalated twice.
