Setting Up Recurring Appointments

For services that repeat on a schedule — weekly check-ins, monthly maintenance visits, ongoing sessions — you can book a whole series of appointments at once instead of creating each one individually.

Recurrence options

You can set appointments to repeat:

  • Daily
  • Weekly — same day each week
  • Monthly — same date each month
  • Custom — define your own pattern

A single recurring series can include up to 24 appointment instances.

Turning it on for a calendar

  1. Open Calendar Settings for the calendar and go to the Availability tab.
  2. Turn on Recurring Meeting.
  3. Choose the frequency and number of repetitions.
  4. Save.

This applies to bookings made through the public booking widget or the default date/time picker.

Setting a custom recurrence on a single appointment

When manually booking an appointment using the Custom Date & Time tab, you can define a recurrence rule just for that one booking — this overrides whatever the calendar's default recurrence settings are.

Handling slots that aren't available

If a slot in the recurring series lands on a time that's no longer available, you can choose how the system handles it:

  • Skip it and only book the available slots in the series.
  • Book it anyway, marked as confirmed or unconfirmed depending on your preference.
  • Skip and find the next available slot so the series still reaches your target number of appointments. Note that if three consecutive slots in a row are unavailable, the system stops searching for a replacement.

A display note

For custom recurring series, only the first appointment in the series shows up in list views and on the contact's record — the rest of the series exists but isn't individually listed in those views.
