Welcome New Bookings with the Customer Booked Appointment Trigger

When a customer books through your booking page, you probably want to confirm immediately and set up reminders. The Customer Booked Appointment trigger starts exactly then.

What fires it

The workflow runs when a customer books on their own through a booking link or online scheduling widget. It covers regular appointments and does not fire for bookings your team creates manually. For a status update, such as a cancellation, use Appointment Status instead.

Who gets enrolled

Choose under Who should be enrolled into the workflow?:

  • Contact only: the booker (default).
  • Contact and Guests: the booker plus each guest, with a separate run for each.
  • Guests only: only guests, handy when the primary contact has another workflow.

Only guests present when the booking is made are included. Guests added later do not start this trigger.

Filters

  • Has Tag: only customers with a tag.
  • In Calendar: only a chosen calendar.
  • In Calendar Group: any calendar in a chosen group.

Set it up

  1. Open Automation > Workflows and create a workflow.
  2. Click Add New Trigger, search for Customer Booked Appointment, and select it.
  3. Name it, for example "New booking".
  4. Choose enrollment and add filters.
  5. Click Save Trigger and also save the workflow.
  6. Add actions and publish.

Example workflows

  • Reminders: send an email and text 24 hours before the appointment using the appointment time as the wait reference.
  • Internal alert: notify the team when a high-priority client books.
  • Intake: send a short questionnaire straight after booking.
  • Group sessions: send each participant the joining details individually.

Tips

  • Test by booking through your own link in a private window.
  • Combine with Appointment Status for confirmed and cancelled branches.

Good to know: Add a calendar filter if you run several services, so each calendar gets its own confirmation wording.
