Creating Live and On-Demand Webinars Step by Step

Webinars can run as a scheduled live event or as a recorded session that visitors watch whenever they sign up. Both are created from Sites > Webinars.

Create a Live Webinar

  1. Click New Webinar Funnel and choose Live Webinar.
  2. Enter the required details: Webinar Name, Timezone, Date and Time. The setup will not save until every required field is filled in.
  3. Pick a registration form from Sites > Forms. Submissions add the attendee to Contacts and can start Workflows.
  4. Paste your streaming link, such as a Zoom meeting, a YouTube Live address, or another webinar tool.
  5. Select a prebuilt template or build your own. Templates generate registration, confirmation and broadcast pages.

Create an On-Demand Webinar

Choose On-Demand Webinar instead. You only need a name and a video, either uploaded (common formats such as MP4 and MOV) or linked. No date, time or timezone is required because viewers watch on their own schedule.

Clone for Repeat Events

Use the clone option to copy an existing webinar. While cloning you can change the date and time and keep the template and settings, which suits recurring sessions.

Reminders and Follow-Up

Build a Workflow triggered by the registration form to send a confirmation, then reminders (for example 24 hours, 1 hour and 10 minutes before), a replay link, and a post-event nurture sequence. Use merge fields to personalize each message.

Troubleshooting

  • Link not working: retest the URL before publishing.
  • Wrong time shown: recheck the timezone in setup.
  • Upload fails: confirm the file type and size.
  • Will not save: check for missing required fields.

Good to know: Test your streaming link and your reminder workflow with a dummy registration before promoting the event.
