Use Jotform Triggers and Actions in Workflows
Jotform steps start workflows from submissions and signed documents, and can add new submissions to a form from workflow data.
Triggers
- New Submission: arrives by webhook, so it starts as soon as the form is submitted.
- New Signed Document: starts after a document with an e-signature is completed. It is polled about every five minutes.
Action
Create Submission writes values from the workflow into a chosen Jotform form. Supported fields include name, email, address, phone, short and long text, number, dropdown, single and multiple choice, yes/no, star and scale ratings, date (use YYYY-MM-DD), and time (use HH:MM).
Limits to know
- File upload, signature, appointment, and payment fields are not populated and stay empty.
- Appointment fields do not reserve a slot.
- A blank unsupported field does not produce an error, even if it is required in Jotform.
Connect and set up
- Go to Automation > Workflows, add a Jotform trigger or action, and click Connect your account.
- Enter your Jotform API key. You can also do this under Settings > Integrations.
- Select the form.
- For a trigger, click Test Trigger so the sample metadata becomes available to later steps.
- For Create Submission, map each supported field to text or a workflow value.
- Save and publish.
Example
Start a workflow when a signed agreement completes, tag the Contact "Signed," and notify the account owner.
Good to know: Always run Test Trigger during setup; without it, later steps cannot see the submission details.
