Use Todoist Triggers and Actions in Workflows

Todoist steps let a workflow drop tasks into your personal or team projects and react when they are finished.

Triggers

  • New incomplete task: a task is added; filter by project.
  • New completed task: a task is checked off, handy for closing the loop with a customer.
  • New project: a project is created, useful for kickoff bundles.

Actions

  • Tasks: Create task, Update task, Mark task as completed, Move task to section.
  • Comments: Add comment to task, Add comment to project.
  • Projects: Create project.
  • Lookup: Find tasks by name, project, label, or filter.

Build it

  1. Open Automation > Workflows and add a Todoist trigger or action.
  2. Click Connect Now and approve access, or connect in Settings > Integrations.
  3. For a task, supply a title (required) and optionally the project, section, labels, priority, and due date. If you leave out the project, the task goes to the Inbox.
  4. Test the trigger or action, then save and publish.

Examples

  • When a contact submits a quote request, create a Todoist task "Call [name]" with a due date of tomorrow and high priority.
  • When a task for a customer is completed, send them an SMS confirming the work is done.
  • Create a project for each new client with a trigger-driven checklist.

Good to know: Use a Find tasks step before creating one to avoid piling up duplicates when a contact re-enters the workflow.
