Start Workflows Around Any Date with the Custom Date Reminder Trigger

Renewals, anniversaries, warranty expiries and trial endings all hinge on a date. The Custom Date Reminder trigger starts a workflow before, on or after a date stored in a field of your choice.

Which date fields you can pick

The list depends on what the workflow is built around:

  • Contact workflows: date fields on the contact and supported date fields on opportunities.
  • Custom object workflows: date fields on that same custom object.
  • Company workflows: date fields on the company record.

Filters

  • Custom Date Field: the field to evaluate.
  • Before Number of Days / After Number of Days: shift the run earlier or later than the date. Without them, it runs on the date itself.
  • Day Is / Month Is: limit runs to a certain day or month.
  • Match on Year along with Day and Month: when switched on, the year in the field must equal the current year. Leave it off for annual events, such as anniversaries, that repeat each year.

Set it up

  1. In Automation > Workflows, open or create a workflow.
  2. Click Add New Trigger and select Custom Date Reminder.
  3. Name it, for example "Renewal 30 days out".
  4. Click Add filters, choose the Custom Date Field, then add Before Number of Days with 30.
  5. Click Save Trigger, add actions, and publish.

Examples

  • Send a renewal reminder 30 days before a contract end date.
  • Wish a customer a happy anniversary of becoming a client.
  • Notify the account owner the day before a warranty expires.

Keep in mind

The contact needs a value in the date field, otherwise nothing is scheduled. If you change the date later, the reminder follows the new value.

Good to know: Use two triggers in one workflow, such as 30 days before and 7 days before, to send escalating reminders.
