Mark Conversations Read or Archived with a Workflow
A busy inbox gets noisy fast. The Edit Conversation action lets a workflow tidy up for you by flipping a conversation between read and unread, or moving it in and out of the archive, without anyone opening the thread.
What the action can change
The action has two independent settings. Each can be left untouched by choosing None.
- Read status: Mark as Read clears the unread badge; Mark as Unread puts the badge back so the thread stands out.
- Archive status: Archive removes the thread from the active view; Unarchive returns it to the Recents tab.
If both settings are None, the action does nothing.
Add it to a workflow
- Go to Automation > Workflows and open the workflow you want to change, or create a new one.
- Click the + where the action belongs and search for Edit Conversation.
- Give the action a clear name, for example "Close out finished chat".
- Choose your read and archive options.
- Click Save Action, then Publish the workflow.
Practical examples
- After a booked appointment is marked completed, archive the related conversation.
- When a contact replies to an old archived thread, unarchive it and mark it unread so a team member notices.
- After an automated reminder goes out, mark the thread read so it doesn't inflate your unread count.
Limits
The action only affects the single conversation tied to the contact running through the workflow. It does not alert anyone about the change. If you also want a heads-up, add a Send Notification action right after it.
Good to know: Pair this action with a trigger like Customer Replied so conversations resurface automatically when a contact writes back.
