Find and Replace Tags, Custom Values, and Text in a Workflow
In a large workflow, changing a tag name or a custom value everywhere by hand is slow and error-prone. Find & Replace locates every use inside the open workflow and can swap supported items in a click.
Open it
- Open a workflow in Automation > Workflows, in either builder.
- Click the search icon in the toolbar, or press Alt + F (Windows) or Option + F (Mac).
Choose a search mode
- Custom values: finds where a custom value is used in messages, conditions, and other steps. Good after you change a company-wide value such as a support email.
- Tags: finds steps that add, remove, or branch on a tag.
- Text: finds words in message bodies, field labels, and step or trigger names.
Search ignores capitalization and finds partial matches, with results appearing as you type. The first result opens automatically and the canvas moves to that step. Use Next and Previous to step through matches.
Replace
Turn on Replace to edit supported items:
- Enter what you want to find.
- Pick the replacement: use the picker for custom values, or type or choose the new tag.
- Click Replace for the current match, or Replace All for every match in the workflow.
Only custom values and tags can be replaced. Step and trigger names can be found but not changed this way.
Scope and limits
- It works only in the workflow you have open, not across other workflows or folders.
- Replace All affects only supported matches in that workflow.
Stay safe
- Use Undo to reverse a replace in your session.
- Save a named version before a large Replace All.
- When you can, rehearse on a duplicate workflow.
Good to know: Before renaming a tag, search for it first to see every place it's used, including conditions that might break.
